Description/Summary
This position will support managing the general financial and administrative processes of an active, financially stable, 800-person congregation of members and supporters.
This new position will work with the current CAO/CFO & current Bookkeeper in various financial and accounting tasks, including accounts payable, donations tracking, payroll, and other related finance activities. In addition, this position will be responsible for managing, with assistance from the CAO/CFO, the church’s insurance and IT processes. This position is part-time at 24 hours per week, but has the possibility of becoming full-time in the next 2 years (with additional responsibilities). We can discuss how the 24 hours are scheduled during the regular work week (e.g., 3 days at 8 hours, 4 days at 6 hours, etc.); this position might fit a person who is semi-retired or has significant family responsibilities.
This position is a regular staff role and required to work onsite at the church’s San Francisco location and offices. Salary will be $40-45 per hour, with some prorated benefits such as vacation and sick leave, holidays, and health care contributions.
Financial & Accounting Responsibilities (12 hours per week)
- Assist the current Bookkeeper and oversee the contribution processes from church pledging, special gifts, and other forms of congregational donations, liaising with the Director of Development, and improving processes as needed.
- Supervise Payroll and related compensation activities using Bamboo HRIS, supporting the current Bookkeeper as needed, providing technical guidance, and improving processes.
- Assist the existing Bookkeeper with Accounts Payable and staff reimbursement activities, improving and documenting processes, and assessing best payment practices.
- Manage the monthly close, year-end and other regular accounting and regulatory activities (e.g., 403(b) compliance, annual filings, etc.); create and update certain regular financial reports for staff and Leadership; manage vendor relationships (e.g., external accounting).
- Work with the CAO/CFO to research and evaluate the selection and implementation of a new, simple to use, general ledger software system.
Administrative Responsibilities (8 hours per week)
- Manage the church’s information technology and telecoms activities, including managing existing vendor support, providing staff guidance, and managing occasional IT systems projects (e.g., new network equipment, Win 11 conversion, laptop replacements, etc.)
- Manage the church’s non-benefit, insurance operations including general liability and property, workers compensation and other business coverages; manage vendors, claims, applications, and other document needs; assess ongoing risks and offer recommendations to the CAO/CFO to improve overall risk and liability management.
Other Program Support (4 hours per week)
- Assist and support various Calvary department managers and Leaders with financial, reporting, administrative, education, and team tasks and projects
- Manage/participate in special projects as requested by CAO/CFO or Senior Pastor
Required Skills & Abilities
- A minimum combination of 10 years of general accounting or senior bookkeeping experience. Fund accounting experience is a plus, but the ability to understand it quickly is a requirement. CPA license is a plus, but not required
- Demonstrable proficiency in the Microsoft Office suite of products, especially Excel, and experience with financial database software. Experience with HRIS or medium-sized ERM systems is a plus
- Ability to work well independently; experience with collaborative/matrix-based environments, especially those utilizing volunteer resources
- Ability to prioritize, be attentive to details, maintain confidentiality, and provide excellent service
- Comfortable working with people of strong spiritual views (though a specific faith affiliation is not required for the employee)
- Demonstrated communication, interpersonal, organizational, analytical, and problem-solving skills
Additional Information
- Reports to CAO/CFO, but will work regularly with current Bookkeeper and other staff and volunteer leaders as needed
- Will be required to pass a background check, including credit and criminal elements, given the position’s access to confidential financial and employee records and the presence of a Nursery School and children regularly onsite
